CU Eagle privacy notice

Effective 12 October 2026. Issued by the Office of the Director of Planning and Sustainability, Central University.

CU Eagle is the mobile app of the Counselling & Career Services Directorate (CCSD) of Central University, Ghana (“the University”, “we”). This notice explains what the app collects, why, who can see it, and the choices you have. It is issued under the Data Protection Act, 2012 (Act 843). The University’s general privacy policy still applies to the website. This notice is the one that covers the app.

1. What we collect

Account details — name, email address, phone number, student or staff ID, and your role. Used to create and secure your account and show you the right services. Visible to you and to CCSD administrators.

Counselling appointments — session type, date and time, the counsellor assigned, and what you say you want to discuss. Used to book and run your sessions. Visible to you, the counsellor assigned to you, and the CCSD Director.

Counselling records — notes made by your counsellor. Used to support you across sessions. Visible to the counsellor who wrote them and, where University policy requires it, the CCSD Director. Never other students. Never employers.

Career assessments — your RIASEC and personality-test answers and results. Visible to you and to a counsellor you share them with.

Jobs and internships — applications you submit and CV details you enter. Visible to you and to the employer or CCSD team you applied to.

Devotional and Bible-plan progress, and the prayer journal. Used to keep your place and your entries. The prayer journal is visible to you only.

Alumni details — graduation details, and whether you choose to appear in the alumni directory. Visible to you and, only if you opt in and are verified, to other verified alumni.

Graduate verification — the student number and name you enter when you claim alumni status. Checked against the University’s graduate records by CCSD staff who review claims.

Device notification token — a code that identifies your phone to the notification service, used only to send notifications you have asked for.

We do not collect your location, contacts, photos, microphone or camera. We do not use advertising or analytics trackers, and we do not sell your information.

2. Why we may use it

We use this information to provide the service you ask for. Optional features, including the alumni directory and notifications, run on your consent. Counselling notes are treated as sensitive personal data. They are used to provide the counselling you requested and to meet the University’s safeguarding duty. The Office of the Director of Planning and Sustainability records these as the bases for this notice under Act 843.

3. How long we keep it

Your account and personal content stay until you delete your account.

Counselling and appointment records are University records. The Office of the Director of Planning and Sustainability sets their retention, on 12 October 2026, at six years after your last session. They are then securely deleted or anonymised. There was no separate records schedule for these app records on file when this notice was issued. A later schedule approved by the University replaces this period.

Backups may hold deleted data for up to 30 days. That matches the app’s account-deletion window.

4. Who else handles your data

These providers process data on our instructions only.

  • Supabase Inc. — database, sign-in and file storage. The University’s project may store this data outside Ghana.
  • Google LLC (Firebase Cloud Messaging) — delivering notifications, on Google’s global infrastructure.
  • Cloudflare — hosting the app’s web version, on its global network.

These providers may process data outside Ghana. The University uses them to provide the service you asked for, under their contracts. The Office of the Director of Planning and Sustainability will notify the Data Protection Commission where Act 843 requires it.

5. Deleting your account

Open Account & privacy (the person icon at the top of your dashboard) and tap Delete my account. Your sign-in is removed immediately and cannot be used again. Your personal content — prayer journal, devotional and Bible-plan progress, assessment results, learning progress, and your profile details — is erased.

Some records are not erased, because the University must keep them. Counselling and appointment records stay, without a working sign-in connected to them, until the end of the retention period above.

Accounts created for University staff, counsellors and administrators cannot be deleted from the app, because their records are shared with other University systems. Contact ICT or HR and they will do it.

6. Your rights

Under Act 843 you may ask to see the information we hold about you, have mistakes corrected, object to certain uses, and ask for deletion. You can do most of this in the app. For anything else, contact the Office of the Director of Planning and Sustainability. The University has not published a separate Data Protection Officer on this site. Requests sent to the office below are the requests for this notice. You may also complain to the Data Protection Commission of Ghana.

7. Children

CU Eagle is for University students, staff, alumni and employers. It is not intended for anyone under 18.

8. Security

Data is encrypted in transit. Access is controlled by role and enforced in the database, so a student cannot read another student’s records, and an employer cannot read counselling records.

9. Changes

If this notice changes materially we will tell you in the app before the change takes effect.
